Keeping attendance records up to date is a key part of any school's data management. We have a tool designed to help central administrators control the attendance taking within their institute. Check to make sure the Educators are keeping their records updated in an easy-to-use functionality.
Who can access the audit?
Attendance auditing is designed for administrators and super users who have full school access.
Auditing teacher attendance
As key reports are attached to attendance taking, it is important to ensure that all data is complete. Guardians and Students can see attendance on their respective portals. In combination with the Administrative Update, Administrators can fill in the missing data and remind users to complete their attendance.
Select the data range needed to check attendance, it can be done daily or weekly, depending on your school's reporting needs. Click on the day cells shown in the pop-up calendars. There are also preset values of Today/Yesterday or This week/Last week. Then select the school level to audit. Press Audit Attendance to open the report on the screen.
If you wish to receive a copy of the reminders sent, then check the appropriate box to cc self in the emails.
This report is particularly heavy and is restricted to the output of a maximum of one week.
The list of teachers attached to the school level is shown, with an email icon next to their name. Pressing this will send a reminder to the teacher to take attendance on the missing periods shown in Red. A period will show Red until attendance is taken for all students enrolled in the course for that period.
Click on the cell within the report and a pop-up will appear with the missing period and course.
Administrators can take attendance on behalf of Educators, via a direct link to the Take attendance screen for the missing period.
Periods that have been completed, are shown as Green.
Either send an update to all Teachers, by using the 'Email Teachers' button or click on the envelope/mail icon next to each of the names.
They will receive a gentle prompt to complete these records.
Nb: Incomplete attendance will show if a student has been added to the course and has enrolment dates not limited. It will also show and require attendance when a double period is scheduled. Attendance is expected in both periods in this case.
Make your community aware of the importance of attendance data
We have some dashlets available, that can help prompt your Educators to fill out their incomplete registers themselves. Ask your CSM to add these to your system. This is contextual and is for an individual user.
