Announcements, attachments and SMS messages represent an enormous amount of data across our network. In order to provide an efficient and fast system, we have a retention policy to help improve and maintain server performance.
This is controlled by your retention policy setting in configuration/communications/announcements.
The options are for one, two or three years. This will be checked every August automatically, and announcements and attachments will be deleted from the system. If the user has not downloaded the attachment, it will no longer be accessible from the email.
Top tip: If you have an important file to share, then consider using My Files instead.
SMS retention
All billed SMS messages will be removed from the system automatically in August. Unbilled SMS's will remain available. Invoices are sent each January for SMS costs.
Improved performance
Every time a user logs in, the system loads all announcements directly from the server. Most of our community does not need access to emails from the previous year. If the announcement was sent as an email, the recipients have a copy in their inbox. Removing these old announcements from the system will help us maintain a quick load time, and allow us to allocate more resources to key actions such as publishing grade reports and generating large data reports.
