The Form Builder, and Workflow work with the status of the application. These can be configured as required. Each status can trigger an action via the workflow, and ensure that no application is lost or tasks created unduly.
How to access
In the Admissions menu header, in the Advanced options, find the Statuses function. You can access this page from the configuration panel.
What is a status?
Statuses are used to give a classification to your steps. They are used both internally and externally to give a clear insight into the next action.
The Internal status will only be seen by the admissions team.
External labels will be shown to the applicants.
They will only be visible to the applicants if the step is visible.
Top tip : When using statuses to confirm a negative decision, try to use appropriate terms. It can be clear internally and set as 'Declined' but set the external label with a neutral label, such as decision. The contents of the automated mail are used to explain the details.
Checking the Close box will stop the application at that stage. It will also stop the same applicant from reapplying.
Checking the New box will allow the applicant to reapply with a closed application already attached.
The Index controls this list view. Notice that automated enrolment can only be assigned to one step in the list. If this is a manual action for your admissions team, just create a void status and assign the automated enrolment to it.
When is the status applied?
Statuses are applied if the workflow step is completed, either internal or external.
Organising your application list view
Statuses are a great way to filter the admissions management list view. Select the type and filter to contact all candidates who are accepted to send them a bulk welcome message. They are exportable by the admissions management team to get a more detailed overview of enrolment.
Do not relabel once activated
If you change the label of the status, this will apply to both future and historic applications. It is best to add an X. and a high index value to push it to the bottom of the list in this case.
