The MySchool file-sharing system allows users to easily share files between themselves. This can be accessed via the user menu header My Files. The system creates a series of file buckets, much like the folder system in Windows Explorer.
NB: Files can only be shared by staff members. Students and guardians can download, but cannot upload content to MySchool.
Who has access?
All users should be able to see the My Files menu header. Students and Guardians will see files shared with them. Class/Course Teachers will see files shared with them and shared by them. Super users and administrators will see files shared with them, by them and all other files shared by other users.
Accessing files
My Files is split into three tabs as explained above. The buckets are stored within common folders. Clicking on the folder will open its content for direct download. When uploading resources, you select to choose a year range for the particular bucket. Access previous years' documents by changing the year drop-down value in the bottom-hand corner of the screen.
Creating a new bucket
Click to open the new file bucket page.
Add a title and if required, create a folder to keep your documents together, otherwise choose a preexisting folder from the drop-down.
Share with will open the people picker allowing you to select a target audience with whom the the content will be shared. Select the year in which the file can be viewed. If you wish them to always be available, even in future years then select all from the drop-down.
Top tip: Try to encourage users to use a year value for documents and to minimise the use of ALL. This will avoid having a long admin view with irrelevant content. Students don't need coursework from their primary level when they are nearing graduation!
Adding files
Click the add files button to start uploading content from your device file explorer. Be wary of large files as there is a file limit of 128Mb. There are certain file types which will not be allowed by the system (.exe for example). A pop up will appear to inform you that the file type is not allowed. Most common file extensions are accepted with no issue.
They are immediately available to the target audience.
