If you have set up your synchronisation with Google classrooms, you can also update your MySchool assignment modules with Google created assignments and grades.
Google will push assignments to your MySchool portal every day, during the automated system update (Around 00h00).
Before starting
Only courses that have been selected in the Google Mapping and/or Google create pages will have assignments synchronised.
We can only synchronise numerically graded assignments.
The assignments created in Google classrooms are NOT editable in MySchool, and cannot be regraded.
Depending on your settings, these assignments will be included in your term averages and will be set to be published to students and guardians.
The full range of tools available in MySchool assignments cannot be synchronised with Google assignments (Submissions, Forums, Weighting, VLE etc).
How to set up the assignment synchronisation
1. Contact your CSM when you have completed the Google classroom synchronisation. Our team will enable assignment synchronisation as part of your Google integration. We will also got through the below steps together.
2. You will need to enable certain functionality using assignment configuration.
- Determine a numerical scale to be used for the synchronised assignments.
In most cases, this will be the default percentage scale in your MySchool system. It allows for assignments to be graded with a lower maximum out of value (0-50, 0-10 etc).
Make sure the scale is associated with the subjects included in the Google classroom synchronisation.
- Determine the correlating assignment types from Google to MySchool.
In Google, there are three types of assignments available. Question has a sub-selection type of short answer and multiple choice.
Assignment and quiz assignments can only be mapped to one assignment type in MySchool. The MySchool assignment types can be found in the assignment configuration. Check to make sure the selected types are attached to your synchronised subjects.
So we will need you to provide us with the following information;
Assignment/Quiz Assignment | MySchool assignment type |
Short answer | MySchool assignment type |
Multiple choice | MySchool assignment type |
4. If you use Topics in Google, then we can also include these in MySchool. You need to set the topic option in MySchool to be configurable by the Teacher. This can be done individually per subject via the assignment tab, or in bulk using assignment configuration.
Topics are a great way to group assignments together and make your grade book grid more accessible. have a look at this article outlining how to use topics.
5. Confirm with your CSM that all of the above is complete. It may not be an immediate update, so we will confirm everything is working after the first automated synchronisation.
What do we synchronise and what happens in MySchool?
When creating assignments in Google, your Educators need to be aware of what information is used within their MySchool grade book. They can still create assignments manually in MySchool as well as using Google classrooms. Also, confirm with them that synchronised assignments cannot be edited with the MySchool platform.
For Google assignments, there are three statuses on creation;
-
- Assign/Ask - This will set the MySchool assignment to be published on the next synchronisation. The publish date will be the day of the synchronisation.
- Schedule - If a future date is entered, then this will be used in the Unpublished field on MySchool assignments.
- Save as draft - This only works on Google. We do not synchronise assignments that are set as a draft.
The fields within Google assignments will match with the fields in MySchool assignments where possible. When creating an assignment, the following options are available in Google;
-
- All students - This allows users to edit the students within the assignment. This is the same as editing the student list in the assessment tab of the assignment. This will synchronise from Google to MySchool.
-
- Points - This is related to the numeric scale chosen, and the Points assigned in the options tab of a created assignment. The number of points assigned in Google will be the same in MySchool. All assignments will have the weight of 1 assigned. This cannot be edited in MySchool.
-
- Due - This is the same as the Due date that is set within MySchool assignments.
-
- Topic - If the subject has been selected as Teacher configurable then this will create and synchronise on the MySchool assignment.
- Rubric - We cannot synchronise this information with Google.
FAQ for google assignment synchronisation
Nothing is being pulled from Google, what do we check?
Firstly look at the sync logs, if synchronisation has been logged then start to go through a sample of assignments on Google:
- Are the assignments set to be published?
- Confirm the assignment type is correct on Google, and that we were provided with an equivalent in MySchool.
- Is the course enabled in either the create Google classroom or Sync mapping page.
- Is a numeric scale enabled in MySchool and attached to the relevant subject
- Check that the point value set in Google is below the maximum out of value in MySchool
- Contact our team for further help
We checked above but still can't see the assignment
Check that the publish and schedule dates match with MySchool term settings with the respective course. If the assignment is set outside of these dates, then it will not show. the term must be as in schedule term for the assignment to show on the grade grid.
Our assignment averages are not correct following this setup, how can we apply weights?
As part of the project, we will ask you to test for your end of year assessments. if you find discrepancies then you may have to disable the Google synchronisation. Google assignments is not as comprehensive as the MySchool module, and we cannot adapt the assignment grade grid to accommodate this.
Students are not enrolled in the assignments, what happened?
Check that the enrolment data is correct in MySchool. Is the course still active? Do the students have a valid enrolment date? If the course data is synchronised with Google then the students should show as normal. A last check would be to make sure th students have been added to the google assignment.
