The MySchool finance module comes with default templates, ready to use once you have configured the system. We will look into branding and editing this content to meet your school's communication needs.
Open the template tab
There are three categories of templates; Finance docs, associated finance emails, and generic announcement templates which can be used with the finance module. Let's look at the main templates for Credit notes, invoices and receipts.
Each document is similar in its default design, they include;
- System logo
- Organization address
- Client details
- Invoice/credit/receipt details
- Payment table -NB: please do not remove this from the template. It is mandatory on the layout and can be formatted in the payment table tab.
As you can see the logo is not loaded in the template creation screen. You can use the preview button to check out how it looks. You can also override the system logo with another jpg image file. Simply delete the image icon in the top left corner.
As templates are organisation specific, you can save a different logo for each separate organisation built in finance.
The address field is built using [[replacement tags]]. These can be applied by looking the list under this icon ..
You can click to position the tag within your document, but please don't change the wording within the brackets.
Client & document details
With the rich text features, you can embellish and redesign the templates to meet your institute's needs. Use the preview button to check how the design will look. The replacement tags will be generic when using the preview, they are a guide to show how the design will look.
The payment table will create the line items for the invoice, open the tab to access the design elements;
The payment table has a content list, a customisable label, and the possibility to change the width of the column. Activate the content by clicking in the box, and add your own labels. You can drag and drop the columns to reorder them if necessary.
Use the shaders to change the colours to match your institute's brand, and make sure you have enabled the Line item total to show the final amount.
Add a custom announcement template
The third tab of the template allows you to attach a default announcement template that will be automatically sent when invoices, receipts and credit notes are raised. You can design and brand these as well. Open the other tab and choose from the drop-down list;
Select to send from the organisation email field, or from the user raising the invoice, credit note or receipt.
Finance announcement templates
Amend the finance-specific announcements. The reminders are sent automatically depending on the payment term configured in your organisation. If you have 30 days set, then the announcement will be sent automatically.
Sending bulk emails
You can create templates for general information updates. These can be used in the list view for balances and transactions. When you select multiple users, the email button will be activated, simply select load template to apply and send to the invoice payers selected.
