The Donation Management Module makes it easy for schools to organise and run successful fundraising campaigns. Designed with school staff and community volunteers in mind, this tool helps you create campaigns, track donations, and keep everything organised in one place. Whether you’re raising funds for classroom supplies, school events, sports teams, or special projects, the module gives you a simple and clear way to manage every step.

Configure your campaigns
Even if you are not running a specific goal-oriented campaign, you still need a generic campaign in order to start collecting donations.
Choose a name and an event type. Your event types are configurable on the donation configuration page. If you have a multi-school system, the campaign can be school or system-specific.
Add a start and end date, along with choosing a campaign manager from the dropdown list of options.

Accepted donations
There are three types of accepted donations available;
Gift in kind - Services. Property, Bequests, Gifts and Stocks.
Monetary - Available types are cash, bank transfer, and cheque. Online payments are available via Stripe Connect if the school has a valid account.
Voluntary hours - Allows users to be available to help with events.
You can make online Stripe payments from your portal. The donations administrators manage all other donations.
If you have the event module activated for your MySchool platform, the active events will be listed here. If not activated, this will be blank.
Financial information
An account is needed, and will be configured by the onboarding/migration team. The list of accounts is created in the tuition management module.
Set a target for the campaign. This target will be shown to the donors in the form of a dashlet.
Determine the amounts that donors can pay. Preset amounts will be suggested to donors when they choose to donate online. If a minimum amount is set, they will not be able to pay below this if a custom amount is enabled. The user can enter their own amounts when paying.
Campaign description
This information will embellish the My Campaigns page, where donors can view active campaigns and their goals.
The short description will show under the campaign. When the donor selects to donate, the full description will show. Embellish the text with rich text features, explaining the goals and thanking the donors for their help in achieving the campaign target.
Add your prospective donors
You can publish the campaign with no donors added. Once a donation is made, the donors will be added to the prospective donor list. If you would like to contact prospective donors, then you can populate the campaign with users from your school.
Open the Add donors screen, and use the people picker to add prospective donors to your campaign. To contact donors from this list, you need to use the check boxes to the left. This will enable the email button. A slideover will appear with the email body and details. You can load templates that you have saved in the configuration panel. Once a donor has received an email, the campaign donor stage will change to contacted.
If the donor has donated a monetary donation, the has donated column will update to Yes. This column will not update if a gift or volunteer is used as a donation type.
Click on the graph icon in the bottom button bar to show a summary of the campaign in a slideover.
On lower resolution screens, filters will be available when clicking on the magnifying glass icon.
General notes can be added to the campaign with the comment icon button.
Managing donations
Create new donations manually from the campaign view. If the donor has made an online payment, this will automatically update here. All other donation types need to be added manually.
Nb: Voluntary hour donations will not be assigned a donation number, as no receipt can be issued.
Open the add donation slideover to add the donation from one of your donors.
Mandatory fields will have an asterisk and must have an entry in the designated field.
