As of September 2026, we have released an easy way to refund your customers. This applies only to payment methods handled offline (Stripe already has a refund feature when payments have been collected). It is not associated with an invoice and is a simple recorded refund.
Where is the refund feature?
Open the transaction page, and the option to refund will show at the bottom of the page.
Click on the refund button to open the appropriate slide-over. You will be required to select a customer, an offline payment method for the refund, the date and the amount. You can add a reference and additional notes.
This refund will be debited from the customer's balance and will not be associated with an invoice as a credit note. It allows users to refund customers who have left the school but still have a credited balance.
All unassociated credit notes (i.e., not associated with an invoice line item) will now be classed as a refund in the transaction management list view.
What is the difference between voiding and refunding?
When you use the void feature for a received offline payment, it removes the payment from the customer's balance. It may be that an offline bank transaction or cheque did not clear, and the customer would have to seek other methods to pay their outstanding debt.
In terms of a refund, this would generally be used if the customer's account is in credit and they have left the school; therefore, you would be refunding the amount.
How does this work with credit notes?
Refunds are not credit notes, which are generally used to nullify an existing invoice which was raised in error. A credit note will be used to zero a customer's balance.
