Status: This feature isn't live yet, it's scheduled for deployment in December 2026. This guide is for reference ahead of launch.
The Diploma Module lets a school recreate its own state, provincial or national diploma in MySchool and automatically track whether each student is on track to graduate. You define the requirements; total credits, which subjects are mandatory or elective, and the pass mark needed to earn credits and link students to the diploma. MySchool then checks each student's enrolments and results against those rules and shows, at a glance, who is on track and where anyone is falling short.
This guide covers setting up a diploma and reviewing student progress; the first setup is best done with MySchool, after which you can manage it yourself.
Note that MySchool tracks progress against the requirements you set up, it doesn't issue or certify the diploma itself.
Configuring a diploma — step by step
The module lives under Grade Report → Diploma Management. You can build any diploma your school needs; the steps below use a test diploma.
Step 1 - Create the diploma. In Diploma Management, click Create new diploma (bottom right) and give it a name. Each diploma then appears as a card with an Active/On toggle, Configure Requirements, and View Students.
Step 2 — Add requirement rules. Open the diploma and, under Enrollment rules, use Add rules (Add enrollment rule / Add student custom field) to add each graduation requirement. A single rule captures a mandatory requirement, such as specific subjects that must be passed; use Add group for grouped requirements like electives, where a set number of credits can come from any of several subjects. Each rule has a Configure button and an × to remove it.
Step 3 — Configure each rule. Click Configure on a rule and set:
- Name: e.g. Science
- Item type: what the rule checks against: Curricula, Subjects, Subject Tags, or Course Tags
- Items: the specific subjects or tags that satisfy it
- Minimum Credits and Minimum Enrollments: e.g. 2 and 2
- Requires Pass and Pass Mark: which grade field counts (e.g. Diploma grade) and the mark required (e.g. 55)
Step 4 — Link the diploma grade in each subject's specifications. The pass-mark check in Step 3 relies on MySchool knowing which grade field counts as the diploma grade. In each subject's specifications, associate the relevant grade field with the diploma grade by tagging it Diploma Grade — the checkbox sits right next to where you set the Primary Grade. This is what lets the module compute each student's result against the pass mark and show whether they're on track.
Step 5 — Add students. On the diploma, click View Students, then Add students to pull in the students it applies to (or review the ones already added). The list shows each student's Class Level, status (e.g. "3 / 4 requirements met"), and generation date.
Step 6 — Compute requirements. Whenever rules or students change, click Compute requirements for [diploma name] to refresh every student's status — nothing updates until you do. You can also Export the list from this screen.
Reviewing student progress
Click a student in the list to open their requirement-by-requirement breakdown. Each requirement shows Met or Not met, and the unmet ones explain why — e.g. Science showing "0 of 2 required credits" and "Looked for subjects: Earth Science 8, Life Science Regents." This is how you confirm the rules are catching the right subjects: if a requirement wrongly shows as not met, it usually means the subject mapping (Step 3) or the diploma-grade field (Step 4) needs adjusting.
A student's status reflects their current enrolments and results and relies on the diploma being set up correctly, so keep enrolments and grades up to date for accurate tracking; treat "on track" as a current snapshot, not a guaranteed outcome.
Sharing progress with parents
Schools can attach a progress PDF to a student's grade report so parents can see whether their child is on track to graduate. This is a progress summary, not an official transcript or diploma, it reports the student's status against the requirements you've set up, and the diploma itself still comes from the relevant awarding body.
The PDF lists the student's requirements and whether each is met, with an optional free-text summary at the top, and it automatically inherits your grade report's colour theme. It's attached to the grade report, so parents see it alongside the rest of the report each term.
Activating the module
If your school is interested in using the Diploma Module, contact your Customer Success Manager once it goes live in December 2026 to discuss activating it.
