In MySchool, a student must be attached to a class within a school level. Enrolment in this class can be done via Administer> Classes and Students. Select the class from the list, and open the participants tab.
You can also use Supersearch, , by entering the class name.
Class view
To add a student to a class, choose the pick student button to open the options to search for the students within that school. To remove a student from the class, then press the red X. The student will not be withdrawn, nor deleted from the system automatically. They will no longer be a part of this class. You have to got to their profile tab to enrol them in the withdrawn class of that year.
Student Enrolment tab
In the student profile, under the enrolment tab, you can see the classes to which the student is enrolled, and the courses attached to that class. The profiles can be edited manually.
If you need to add a new class within the same school, then choose Add Class and select the target new class. Note that the courses attached to the new class are automatically assigned. The start/end dates are based on the scholastic year.
You can also manually add courses in the student enrolment view.
Case examples
-
A student was attached to a class and the courses, but has not been part of the education system at all during the current scholastic year.
Action : Go to student profile, and delete the active class from the enrolment tab, and delete the courses attached to the student for the current scholastic year. Their historic record will be stored, but they will be removed from the active reports and system.
-
A student leaves the education system during the active scholastic year, and has taken part in an active class and courses.
Action : In the student profile, set both the class dates, and course dates as the actual dates that the student attended the class. Then add the withdrawn class to the class enrolment tab for the rest of the current scholastic year. The courses are set as the last day of the course enrolment.
-
A student is due to arrive during the current scholastic year, and will start school in the second term 2018-19.
Action : Create a new student profile, and enrol the student in their allocated class. They can be attached to the courses of that class as well when prompted. Change the dates of the class & course start dates to reflect the real future start date (i.e. 7th Jan 2019). The student will become an active student as of that date. They will not appear in the class lists until that date.
-
A student will start school in the NEXT scholastic year.
Action : Create the student profile, and enrol them in the Intake class of the current scholastic year. If the next scholastic year has been set up (Dates/classes/courses), they can be assigned a class in the NEXT scholastic year. When the year is rolled over the student will be placed in that class.
-
A student has been assigned to two different classes in two different schools (Data import error)
Action : If a student has two classes in the tab, when one is the active class, and the other is the previous years class. Simply delete the non active class from the enrolment tab. Check to see if the student is attached to the courses as well.
Top tips
- Don't delete the profile, unless it is a duplicate or an error. If you delete the record the student will no longer exist in the database.
- Check which year you are working with. You can create historical and future classes, and courses, and student profiles can be moved and edited. Make sure you are working in the correct year.
- Make sure the dates don't overlap, or go over the scholastic year. This keeps the record clean, and MySchool knows where to place the profile.
- MySchool has an in built system of promotion, called rollover. If the students follow a logical progression from Y1 - Y6, then the system knows where to put the classes and the students for next scholastic year.
