Distribution Groups - MEDS

When using announcements, SMS and other communication tools within Myschool, school clerks can create customised audience groups of users called a distribution group. These are separate from security and access, and are available in the people picker for all users with access to communication tools.

How to access

To create distribution groups, then go Administer/Advanced Options, and search for User groups at the bottom of the list.

Creating groups

You would like to keep users grouped together to facilitate quick and easy contact. School council, Transport organisers, Kindergarten first aiders, Sports teachers, Art Teachers for example.

The system already has filters for the main user profile types, students, guardians, mentors (LSE's), Teachers, and Staff. You do not need to create these groups.

The list page, by default will be empty, start by create new user group, the button located at the top of the page.

Create a name for the group. This must be unique to the entire MySchool system, so add the name of your school and the level after the group name. If you need multiple groups with the same within the same school then use 1,2,3 or A,B,C as unique identifiers.

Once you have created a name, the system will apply it to a fixed member list within your school. This means that you will need to manually add members to the group. Switch tabs to Members.

Add the first few letters into the member search field. Alternatively you can use the drop down arrow to show all profiles available in your school security context. Simply add the user to the distribution group. Press Create when the group has been populated. You can always come back and edit by adding further members or deleting existing.

People Picker

As mentioned above, the default groups of Teachers, Students, Guardians, and Staff can be targeted by filtering normally. The distribution groups will now appear in the Groups section for all users within the school, as long as they have the correct access levels.
