Taking attendance is a simple 3 step process for your Educators using the MySchool system. Simply open the take attendance screen using the quick action tools, select the course and the period, and hit save. Configure your roll call periods, and customise your attendance statuses. The attendance module is used by all of our community to provide detailed daily reports for internal and external use.
Where to find the take attendance screen?
There are various ways whereby Educators and administrators with the permission 'Take student attendance course/class' can access the functionality.
QUICK ACTION TOOLBAR The quick and easiest method is to go to the + Icon (quick action toolbar), in the top right-hand corner and find Take Attendance in the list. |

My Schedule If you have a user that has been attached to a course, and you have scheduled the course using our timetable function, they can take attendance from My Schedule. Find the period in the timetable and click on the cell. |

Taking Attendance
Open the page via the above options, and the Student attendance screen appears.
1. Date
The current day will always be selected, but users can take attendance in the future or the past by selecting a day from the op up calendar. The system efault is +/- 255 days.
2. My Course/Class
If you have a course scheduled on the date selected, and it is is scheduled in a roll call period. It will appear here. If you have configured the system for class attendance only, then the list of appropriate classes will be listed as well.
3. Period
If a course is scheduled in a rollcall period for the date selected. They will appear here. It will depend on the user, Eudcators attached to a course, will only see their own course listing. Super users or Administrators with extended access will see all roll call courses.
When setting up schedules, you can select whether certain periods are included as Roll call or not.
Attendance Section
The students attached to the course or class selected are shown in a list. The attendance status are set to 'Present' for all students. The other main reasons for absence are listed, either late or absent. These can be customised easily by the MySchool Administrator, have a look at this article which explains how to change the labels. Other reasons for absence appear in a drop down box when you press the Other button.
Confirming attendance
Once the attendance has been taken, then press Save. The student group will turn green to confirm this. The Teacher can still make adjustments e.g Alter or add a comment, and then press Save again to confirm the changes. Attendance can not set to nul (i.e No status on this page. This can only be reset by 'Administrative updates'
In the Parent Overview, the absence is represented by a red square in the schedule. Clicking on the red square, brings up a window explaining why the student was noted as absent on that day. A Green square means the student was present for the whole day. If attendance is taken per course, or if the student has had to leave during the day, then the square will change to orange , once this is noted as such. Details of their presence during the day will be listed in the pop up box.
For Administrators, on their Overview page, will show the whole school population, and each student, noted as absent, will be recorded to their appropriate school level.
Admins note that we can set the attendance periods for taking attendance to show only roll call periods. Myschool will set the attendance as complete for the whole day. Contact our support team to switch to a strict attendance setting.
Reports attached to Attendance
Attendance is a primary feature for MySchool, and as we explained in the intro article, many reports and functions are attached to this. The attendance audit may be required by governing bodies, or external boards, and MySchool provides a comprehensive package for this. Equally, in terms of student safety, absences are immediately notified on the parent portal, and SMS messaging can be set up to notify the main guardian in case of illness or unjustified absence.
