Onboarding/Importing - 2. Student data

Step two in the onboarding process is for importing your students. The mandatory fields for student import are Name and Surname. Although optional, we would advise you to add a primary email as this is needed for the students to access the portal.

The instructions and steps are the same when using the student import tool.

The download template is located as an attachment at the bottom of this article, please delete the test data before importing your own students.

Import tips for students

• The primary email fields are unique in MySchool. The import wizard will not allow for duplicates.
• The primary email address is also used for students to log in to the MySchool student portal. Do not use parental emails in a student profile.
• Please note that the email needs to be in a valid format (xxx@domain.xx). 
• The import is case sensitive, so check your naming convention before import.
• Date of birth must follow DD/MM/YYYY. This can be reordered to MM/DD/YYYY after completing the onboarding. 
• The common name is the searchable name in MySchool when using the Quick action tool bar. The common name will be copied into the legal name field if left blank.
• Students do not need an address, as the guardian's address can be shared across the family members after import.
• For a full country name list, then open an empty student profile in edit mode and check the official country names from the drop down options.
• Telephone numbers can be stored for students, but are not used in the SMS module. SMS messages are sent to guardian phone numbers only.
• When importing the students, they will not be enrolled into a class. You can only find them using advanced search.

External ID

If you are transitioning from your existing system, then check to see if the students have a unique ID code. This can make the migration to MySchool easier. The unique ID (legacy/external ID) attributed to a student during import can be used for the relationships and the enrolment steps of the onboarding wizard. If you do not have a unique ID, then you can invent one for the import. Our advice is to start the first student on 1000, and then drag down the column to add an incremental unique ID to your whole student population.
