How does it work?
Many schools require different application processes depending on factors such as school level, program or stream, or whether the applicant is a national or international student. In MySchool Admissions, these processes are managed through workflows — the foundation for controlling and standardizing applications.
How Workflows Function
Application choice – Guardians or students select from the available applications and follow a guided, step-by-step process. Equally workflows can have both as submitting entities.
Step types – Each step can be external (completed by the applicant/guardian) or internal (handled by administrators). Steps are linked to customizable forms, ensuring all information flows directly into the student or guardian profile.
Manageability – This structure makes applications consistent, trackable, and easy to manage as data is added.
Administrator Tools
Dynamic dashboard – View real-time statistics on capacity, progress, and success rates.
Application tracking – Follow applicants through each stage of the workflow.
Internal actions – Send emails, complete decision steps, and move applicants forward until a final enrolment decision is made.
Flexible enrolment – Admit students directly or place them on a waiting list when needed.
Applicant & Guardian Experience
Interactive portal – Applicants and guardians track their progress and complete required external steps.
Information collection – Upload documents, provide contact details, medical information, and consent forms.
Automated communication – Receive email notifications at every stage, keeping them informed of next steps and, ideally, a successful admission.
Points calculation
To help with the decision process, MySchool admissions has the possibility to add points to a candidate based on certain criteria. Is the applicant a dependent of an alumnus or has outstanding grades? Applicants can then be sorted by the amount points they have obtained. Why not have different points for interview or based on locality?
Decision process
Once all the required steps are completed, the administrator or admissions team can make a decision for enrolment. Decline, accept or wait list. Whilst applying, the student will be enrolled into the not processed class. If successful, they will be enrolled into a class for their required academic year. The dashboard helps monitor amounts per class level. Manage your waiting lists by points, so you can assign places if and when they become available. Admissions fees
The admissions module integrates with our main online payment provider, Stripe. Schools set an admission fee, and submitters/applicants can pay online via the admissions module. With the new Tuition management module, schools can also introduce payment plans to help pay for tuition fees from the start. This will help facilitate the transition from applicant to enrolled student. Users can also decide on a payment plan for direct debit or automated online payment.
