Each step will have a status applied once the submitter or admissions team complete that step. They are attached to a specific workflow.
Statuses help you manage the applicants in the Prospects & Applicants workflow management view. You can manually update these statuses if this is needed in your process.
Adding statuses
Open your workflow, and select Add status from the right hand side. A slide over will appear.
Internal label will show only on the workflow management page. The external will show to the client when they start an application.
The for field will update with the name of the workflow once you have saved the status.
Statuses are unique to the workflow.
The status index will reorder the list according to the value. Note that system statuses all start at 0.
Choose an appropriate icon and colour.
Workflow properties
In many cases, you will not need to add a property.
New is used if a workflow was set as closed, and you wish to start the application again, maybe a place has been created, or acceptance criteria has been met.
Closed will class the applicant to not continue, and used for declined steps.
Enrolled is important for the dashboard to calculate acceptance rates and class level capacity. Make sure that at least one step has this and is used when the student has been fully accepted and enrolled into their requested target class and year.
Automated emails
These mails when activated will be sent to the submitter, when a status has been manually updated. This way you can have decision statuses, attached to a single decision step. If you choose this method, then we would suggest deactivating automated mails from the workflow.
