Once the first step in your application workflow has been completed and submitted, the applicant will appear in your application list view. From this list you can follow and interact with the submitter until a decision is made to enrol, waitlist or decline. Let's have a look at the different ways of working with your applicants.
Linear step method
If you have used our previous version of admissions, you will understand this method, which includes a mix of internal/external steps and the different decisions added as steps which could be manually overrode by your admissions team.
We will use the example above, We see that after the interview, we have 3 internal decision steps. It is always advisable to have these steps proceeded by an internal step, to allow the admissions team to choose the appropriate decision.
When the interview step is completed, the workflow will move to the Waitlisted step. If another decision is made, you can jump the non used decision steps and complete the correct decision step.
Waitlist the applicant - Open the waitlist step and complete the form to send the automated mails attached to the waitlist step in the workflow. If a place becomes available then the admissions team can complete the accept step and the submitter can fill out the additional information form for the last step.
- Decline the application - If you wish to decline the application. Choose the decline step, and complete it. The decline status will close access to the application. The submitter will not be able to continue.
- Accept - This step is used to accept the applicant and enrol them in to the selected classes and courses for the appropriate academic year. A pop up will appear to enrol the student if the status selected is set to enrol.
NB: If the status used within a step is set to close. The submitter will no longer have access to the workflow. They cannot review submitted forms.
Using a single decision step
Instead of having multiple steps, you can also use a single decision step, and change the status manually according to the decision made.
You can have as many steps as you need to complete the your schools admission process. After the interview or payment step, your admissions team can have just one decision step. On the applicant view, the admissions team can change the step manually before completing the workflow.
Admin Note: Do not set up external nor internal mails on your decision step. The email templates should be configured in each individual status.
Use the internal mail on the previous step to prompt the team to change the status manually and trigger the status mail. If the status is set to waitlisted, the applicant will appear in the appropriate waitlist, if the step is decline, then change the status property to be closed.
On the applicant view, click on the status from the previous step and a slide over will show the options available in the workflow.
