Once you have built your forms, tested your workflow and are ready to go. We will look at how the submitter interacts with your application workflow. Whether the submitter is the legal guardian, or the student themselves they must create a profile.
When you have set up your workflow, we suggest embedding a hyperlink on your schools website or social media channels, for your new students.
All applications start with your MySchool platforms URL, with /apply added after the msm.io;
yourschoolsurl.msm.io/apply
This will take the submitter to the account create page. They will have two options, to continue and log in normally if they already have a MySchool account, or the option to create one.
For new users, they will need to enter their primary e-mails and a password. Depending on your schools security settings they will be guided to create a password in line with your policy.
Following this they will receive a validation mail with a link to activate their accounts. When they click on the link their account is validated and they will enter the MySchool platform.
At this point the user is known as an 'authenticated user', they are not searchable via super search and can only be found using advanced search. These users have no security context yet, and should only have access to the My Applications menu header, and announcement inbox. They are not yet classified as guardians as they have not yet created their dependent student.
Note: By default the parent portal of the Not processed class level is not activated. If you wish for users to have access to other features (invoices, questionnaires, course lists etc) during the admissions process, we can activate this for you. Please contact the support team with this request.
What happens now?
The submitter selects an active workflow. They will asked for the student details, relationship, grade level and year. Once they submit these details, a student profile is created and the user becomes a guardian.
If the application is set to allow students to apply, they will only have to select the grade and year.
If the submitting guardian already has children enrolled in the school, they can attach the guardians and siblings to the new student.
Follow the external steps
Now the applicant can follow the external steps. For steps that have been completed they have a list view when filling out the form. Green means the step has been completed. They can click on it to see a read only version of the form.
Grey means that there must be an internal step, and the workflow has not yet activated that step. When the step is blue, this means the user will be required complete another form.
At the end of each step, the submitter will receive an automated email if you have configured these within your workflow.
When the user arrives at the decision step, you will be able to change their status to the appropriate one, and they will receive the automated email from the status.
What happens when we decide to enrol the student?
The student will remain in the not processed class until the school rolls over to the target year. If you create your future years in year management, and also classes, you can directly enrol the student using an enrolment decision.
They will become an active student in the target year, when the school rolls over.
