Opened up your portal and users can't access anything? Have a new starter but they cannot access their tools? No problem let's look at the different cases, and how to fix it.
1. Student
If the user is a student then go through the list below;
- Is the student enrolled in an active class?
- No - Then they need to be enrolled into a class during the current academic year.
- Yes - Check the class enrolment dates. Are they between the academic year dates?
- Is the student enrolled in an archive or not processed class level?
- Yes - We may not have activated student access for these class levels. Please raise a ticket so we can activate this for you.
2. Staff
If the user is a staff member, the most common reason is because they have not been added to a user group;
- Is the staff member an active employee?
- Yes - Then you will need to add context. See the following step.
- No - Change their status to Active employee and follow the next step.
- Is the staff member a class/course Teacher?
- Yes - Then they must be added to a class or course during this current academic year.
- No - Then you will need to add them to a fixed member security group according to their needs. Go to their security tab and add them to one of your available groups. Don't forget to give them a security context by selecting the whole school or a school level.
3. Guardian
- Check to see that they are attached to a student in an active class level in the current academic year.
- Yes - Then go to the next step
- No - They cannot be classed as a guardian if their dependent students are not enrolled. Fix the student issue first.
- Check to see if the guardian has access enabled in their dependent tab
- No - Enable this
- Yes - They maybe set to a relationship type which is not direct. This gives them limited access to certain things on their portal. Check out this article to set the relationship type to direct.
